Planning Guide · By Appalachian Motorcoach
A company holiday party has several moving parts: the venue, the guest list, dinner and the ride home. Transportation works best when it is planned alongside those decisions. This checklist helps Asheville event organizers turn a general idea into a schedule that employees and drivers can follow.
1. Work Backward from the Arrival Time
Start with when guests need to be at the venue, not simply when the party starts. A seated dinner, welcome reception or timed activity may require different arrival plans. Give your transportation provider the required arrival time and every pickup address so the route can include travel, boarding and unloading.
For events outside central Asheville, confirm the entrance and loading location with the venue. Mountain roads, narrow approaches and limited turning space can influence which vehicle arrangement works. Avoid assuming an ordinary car’s estimated drive time covers the whole shuttle trip.
2. Count Passengers at Each Pickup
A total guest count is only the beginning. Separate the people riding from the office, those staying at a hotel and those making their own arrangements. Include invited partners in the riding headcount and note who needs a return seat.
Appalachian Motorcoach’s fleet includes an 11-passenger Mercedes Sprinter, a 13-passenger Mercedes Executive and two 14-passenger Ford Transits. Review the vehicle options, then have the full schedule assessed. Dividing your guest count by seats does not account for the time needed to complete repeated trips.
3. Choose Clear, Practical Pickup Points
One well-chosen meeting point may be simpler than several individual stops. Confirm that the vehicle can legally and practically load there, and give guests a recognizable entrance or landmark. If you need multiple stops, record the passenger count and a contact person for each one.
Let guests know whether the schedule returns them to an office, hotel or another agreed destination. They should also plan any travel needed after that drop-off, especially when alcohol is part of the evening.
4. Plan the Return Before the Party Begins
Decide whether everyone returns together or whether you need an early and a final departure. Share those times before the event. Unplanned returns can change the service duration and vehicle requirements, so discuss options while reviewing the quote.
Choose an event contact who can communicate schedule changes and help gather the group. Give that person the agreed itinerary, passenger counts and pickup instructions.
5. Add Christmas Lights Only When the Schedule Works
A holiday display can be a memorable addition to a team dinner, but it introduces another reservation and another travel leg. Establish whether guests will walk through an attraction or remain in the vehicle, and check entry times and commercial-vehicle restrictions.
Before buying tickets, have the transportation provider review the route and vehicle suitability. Allow time for boarding, entry queues, the experience itself and the ride back. A dinner reservation and a timed light-display ticket placed too close together leave little room for delays.
Keep attraction admission and transportation pricing separate in your budget unless the written quote expressly bundles them. Our holiday party and Christmas light transportation page explains how to request a custom outing.
6. Review What the Transportation Quote Includes
Confirm the date, vehicle arrangement, pickup and return locations, stops and included service time. Ask how extra time, itinerary changes and any applicable parking or admission charges are handled. Use the terms in your specific quote rather than assuming another event’s price or hourly allowance applies.
For gifts, presentation equipment or overnight bags, provide quantities and approximate sizes. Mention mobility or boarding needs early so the available vehicle arrangements can be discussed.
A Sample Planning Sequence
This is an organizer’s checklist, not a fixed package or promised travel schedule:
- Confirm the venue, date and required arrival time.
- Collect riding headcounts and pickup locations.
- Request a route and vehicle review before buying timed attraction tickets.
- Agree on return departures and complete the booking requirements.
- Send guests the final meeting points, departure times and event-contact details.
What to Send with Your Quote Request
- Event date and company or group name
- Total passengers and headcount at each pickup
- Pickup addresses, venue address and any additional stops
- Required arrival time and each return departure
- Luggage, gifts, equipment and boarding needs
- Any attraction tickets or reservations that affect timing
